New “Outright Gifts of Tangible Personal Property” Reference Sheet

Are you comfortable fielding a donor’s interest in gifting lab equipment to benefit your university or unit? What if it’s an inquiry offering a book collection or a painting or even jewelry? All of these items are tangible personal property, and gifts of these items can be some of the most cumbersome you will encounter.

With that in mind, the Office of Gift Planning and Trust Services (“GPTS”), in partnership with UIF’s Financial Operations Team, recently launched a reference sheet you can consult the next time a donor offers one of these opportunities. “Outright Gifts of Tangible Personal Property: Essentials You Should Know” walks you through donor motivators, the related use rule, initial questions to ask, where gift acceptance approval should be sought, steps to execute formal acceptance, and receipting details for these gifts. You’ll find it online here. (It lives on UIFOnline through “Gift Planning” then “Gift Planning” then "GIFT OFFICER/UNIT RESOURCES" then "INTERNAL GIFT CONCEPT AND VEHICLE REFERENCE SHEETS".) System Updates

The Foundation is dedicated to making sure you have the best resources available for your advancement needs.  For this reason, we regularly update TED, UIF Online, OnBase, and BBIS.  The next scheduled updates are:  

Saturday, August 21st, 2021
Saturday, October 2nd, 2021 - Service Pack Upgrade
Saturday November 20th, 2021

During these updates the systems may not be available, but there will be a notification letting you know which systems will be affected and the timeframe.



Tracking Emeritus in TED

Not all Emeritus faculty are easily identified in Banner. If you have a list of your departments emeritus and you would like to see them in the University Appointments, we have added a NEW non-banner classification of Emeritus. Send AIMS a list of UINs or TED Ids, name of emeriti, site or name of your department and the month/year their emeritus status began and they will be loaded as University Appointments on the Relationship tab in TED. These added appointments will not be removed during the monthly refresh of Banner faculty/staff data.

2021 Grad and Student Loads

May 2021 Graduate data has been loaded into TED.

Summer Graduate Degree data will be pulled from Banner the first week in September and loaded into TED by the arrival of the September edition of the UIF Advancement Insider.

Fall Student data will be pulled from Banner the week of September 20th and loaded into TED by September 30th.

Monthly Faculty Staff Data

July Faculty Staff data has been loaded into the University Appointments area under the Relationships tab in TED. 

Monthly Faculty Staff data is pulled from Banner on the 10th and loaded into TED on the 3rd weekend of each month.

Check the TED Homepage every day!  It is constantly being updated with important dates and announcements.

TED Calendar - This shows you upcoming scheduled maintenance and important data updates that have occurred. 

News & Updates - This contains important announcements about TED, including any current issues, and other UIF system updates and information.  Be sure to subscribe to this to receive an email whenever something is posted.  To subscribe, click one of the posts and choose 'Subscribe' at the bottom.


Research & Portfolio Management (RPM)

Bulk Wealth/Capacity Screenings

In addition to the wealth estimates and capacity verification research that our PDAs conduct on a regular basis, RPM also conducts large-scale bulk wealth screenings. The wealth ratings are what feed into the Prospect Summary tile on every individual and household record in TED. In the last several months, RPM has conducted over 133,000 bulk screenings with 3 data vendors.

As part of our strategic review the bulk screening results, RPM PDAs are currently reviewing households with active plans that experienced a significant change (up or down) in wealth capacity through the bulk screenings. PDAs will notify fundraisers of any significant jumps in capacity rating that have occurred on their plans!


TED TIP: Clean Up and Track Opportunities

Want to stay on top of your open opportunities? Two areas in TED are designed to help!

Attention | Opportunities subtab:

Located under the Fundraiser tab, this subtab breaks down your opportunities by various factors, including opportunities that are overdue, and those with missing designations, unknown commitment dates or amounts, and no revenue.

Active Pipeline Report Suite

Provides summaries of Qualified, Response Pending, and Accepted opportunities with no revenue committed, with drill-through reports providing further detail. Find it in the UI Reporting area, under Development Performance.

Need to close a bunch of plans?

Fundraisers, do you want to clean up your portfolio by getting rid of old plans? Your PDA can help! The RPM team can now make a group of plans historical in bulk to save time. Some caveats apply, so please contact your PDA for more information or to initiate a request.



New & Updated Courses Available

Research Requests

At times you just need more information on a constituent. Check out the new Research Requests training for more details about the types of research the Research team does, how research reasons and types work together when completing the form, and access to all available job aids and TED tutorials. Estimated completion time is 30-45 minutes.

Events for Advancement

It takes all of us to create memorable events for out Alumni and Donors. In this course you can select from a variety of Advancement roles to learn how we work together for successful Advancement events. All Advancement staff will benefit from this brief course. Estimated completion time is 10 minutes.

EGAD – Enhanced Gift Acknowledgement Download Dashboard

The Enhanced Gift Acknowledgement Download Dashboard (EGAD) contains reports to use for creating acknowledgements for gifts received each week. Report file formats allow you to easily merge the data into acknowledgment letters allowing advancement units to better acknowledge and steward gifts in a timely manner. Estimated completion time is 10 minutes.

New Job Aids & TED Tutorials in iLearn

Our job aids in iLearn are always updating, keep an eye out for new job aids for quick instructions on specific tasks. If you prefer watching a video over reading a document look at the TED Tutorials section to find regularly updated lists as well. Check out our latest ones below!

  • Research Request Job Aids – Now available in iLearn are 12 job aids associated with the updated research request types and reasons available on the Research Request form.
  • Revenue Association Request Job Aid – Now available in iLearn. This Job Aid will take you through the basic steps of submitting a research request to link associated revenue – including information you must have to make your request. If you’re interested in a video format instead there is also an associated TED Tutorial!
  • Requesting a Marriage/Divorce in TED Job Aid – Marriage and divorce information can be sensitive for the constituent. To maintain that sensitive information the process to request marriage or divorce is a little different than a regular edit, check out the job aid for more information.
Upcoming Live-Training Sessions


In partnership with the U of I Universities, UIF staff will lead a panel discussion around various Prospect Management concepts.

We recommend all fundraisers and their staff take this course after completing the “Updating Prospect & Plan Records in TED” or “Reading Prospect Records in TED” curriculum. In order to enroll in this ILC you must enroll in one of those curricula. We recommend the first to fundraisers, and the second to those who will be using prospect records less often.
