TED Service Pack Upgrade A Success

As mentioned in the March edition of Advancement Insider, many within the UIF staff have been working on the Blackbaud Service Pack upgrades. The updates were successfully applied to TED over the weekend of March 30th. We thank all of those that were involved and assisted in testing over the past few months and for the countless hours it took to have a successful upgrade!

During this upgrade, there were some major additions to the TED system that you might notice:

  • TED was branded with a new look!
  • 2FA was applied for more security to accessing TED.
  • New TED Homepage was launched with 3 new sections:
    • TED Calendar - for upcoming maintenance and important data updates to TED. 
    • News & Updates - Area to see important announcements about TED and other UIF system updates
    • Useful Links - direct links to iLEARN, UIF Online, Advancement Support and much more
  • UIF Links renamed to UIF Resources in the blue Navigation Bar of TED

Updates to Current TED Reports

Event RSVP Name Tag Report

This report will now display ALL events, not just by Site. There are NEW fields have been added to this report Household LookupID, Household Name and Event Host

Event List Dashboard

This report was modified to now show the Invitee list of the selected Event. If there is not a invite list attached to the event in TED then the Invitee list will be blank. The report still displays RSVP and Attended list if that data is available in TED. NEW fields added to this report include Event Restrictions and Constituent Restrictions.

 
UIF Online Formatted Reports NOW in TED!

Accounting Monthly Reports

A new suite of reports has been made available which replace the reports that were previously available from the UIF Online Fund Tab. From this report suite users will be able to run the following reports:

  • Budget-Final
  • Budget-Prelim
  • Financial (Alpha)
  • Financial (CCD)
  • Management Reports-Banner Accumulations
  • Management Reports-Banner Deficits

Campus Call Daily Reports

A new suite of reports has been made available which replace the reports that were previously available from the UIF Online Giving Analysis Tab. From this report suite users will be able to run the following reports:

  • Segment Summary
  • Segment Report
  • Designation Summary
  • Refusal Reason Summary

NEW! Briefing Reports

COMING SOON

Briefing Reports - In the upcoming weeks a new report suite will be deployed in TED to provide Advancement professionals the option of viewing on-demand biographies of constituents to gain insights and/or possibly assist in building talking points when interacting with constituents.

The report provides the option of viewing constituent biographies at by individual(s) or by an Event listed in TED. The output options include a summarized version of the briefing information as well as a detailed version. The reports include information about the constituent’s household information, giving details, education information, employment, engagement etc. Stay tuned for more details and further communication regarding the availability of this report in TED.

Scheduled NCOA Updates for TED Constituents

Every 45 days UIF AIMS submits our individual constituents records through the Address Finder process in Blackbaud that processes NCOA (National Change of Address) changes to constituent addresses. This process includes sending two batches of records (Alumni and NonAlumni) over 1.4 million records to be processed for address changes. The last update was completed on April 1, 2019.

Please check the TED Calendar and News & Updates section of the TED Homepage for future updates on this process. If anyone is working with an outside vendor to send out mass mail using TED data please contact UIF AIMS to receive the latest TED NCOA reports to provide to your vendor.

Learning at your fingertips! It's easy to search for live-training events, online courses, along with documents and resources in iLearn Advancement.

 
  1. Use the search window on the home page to search by topic.
  2. Select if you want a course, document, or both.
  3. Choose enroll for courses, or view for documents. 
  4. When enrolling in live-training events, be sure to select a convenient session.

Locating Records in TED **UPDATED COURSE**
Finding the correct record is often the first step you’ll take when performing your advancement tasks. In this course, you’ll learn different ways to search for individual or organization records and verify that you have the correct record.

Handling Constituent Documents **UPDATED COURSE**
Learn how to access, import, and search for gift images, donor research, donor correspondence, governing documents and more within the advancement systems of TED and OnBase.

Even if you've taken these courses previously, they might be worth another look!

Using Gift Planning to Meet Our Donors’ Needs
Learn to integrate gift planning strategies into your daily fundraising work to help donors achieve their financial and philanthropic goals. This curriculum covers a variety of assets and vehicles used in gift planning strategies and is perfect for Frontline Fundraisers!

UIF Gift Planning and Trust Services Essentials
This course is an introduction to UIF’s Office of Gift Planning and Trust Services (“GPTS”), its work, and how you can partner with the GPTS team. Available soon for all Advancement learners.

Gift Officer Goals FY2020
Ready to set goals for FY2020? In this course you’ll learn how goals data is used throughout TED and your role in maintaining goals data. Includes the annual metrics and associated metrics definitions for each University. Available soon!

UIF Learning and Development will be working with the Vice Chancellor’s offices to launch these courses to designated learners.

 

Foundation Visit

After a three year hiatus, the UIF Visit held March 7 & 8 was a big success!

This 2-day event was designed to engage and inform recently hired members of the advancement community at large.  During this visit, new hires from across the System met UIF leadership, staff members, and invited guests to learn about UIF’s services and structure. Advancement staff had opportunities to network with their peers during meal times and an evening cocktail hour.

Future visits are planned for twice per year and new advancement team members will be scheduled to attend the UIF Visit as part of their orientation to Advancement at Illinois.
