On behalf of the Office of Gift Planning and Trust Services:

On July 27th our donors and alumni ages 50 and older received an email about the benefits of charitable gift annuities. This group who may be retired or planning for retirement will find this gift vehicle a smart way to benefit areas of their choosing at the University of Illinois and at the same time provide them and or a loved one a steady stream of income for life. $10,000 is the minimum value to establish an annuity at the University of Illinois Foundation. Donors not yet age 60 may establish a deferred gift annuity.

FY21 Annual Endowment Statements

Progress on the FY21 Endowment Statements is underway!
A message went out on August 3rd to all chief advancement officers regarding the items that need to be reviewed and submitted to help produce these pieces.

Units should be reviewing and providing updates to their recipient lists for each endowment fund as well as obtaining an impact quote to be included on their unit’s statements. These items are due on September 3rd. Please contact Cassi Wildman at cwildman@uif.uillinois.edu or 217-244-0792 with any questions.

System Updates

The Foundation is dedicated to making sure you have the best resources available for your advancement needs.  For this reason, we regularly update TED, UIF Online, OnBase, and BBIS.  The next scheduled updates are:  

Saturday, October 2nd, 2021 - Service Pack Upgrade
Saturday November 20th, 2021

During these updates the systems may not be available, but there will be a notification letting you know which systems will be affected and the timeframe.



Cell Phone vs Landline

This month, UIF AIMS partnered with the RealPhoneValidation data vendor to analyze all active phone numbers in TED. Over the past few weeks, AIMS has had all 1.7 million active phone numbers on TED Constituent records submitted through the RealPhoneValidation process to identify if the phone number is a cellular line or landline or no longer an active phone number. Phone types were then updated in TED for current phone types that were previously identified incorrectly on the constituent record. Going forward we will be sending new phone numbers added to TED that were not previous sent to RealPhoneValidaton for analysis on a monthly basis to keep phone types accurate in TED.

Student/Grad Load Dates:

Summer Grad Load file will be received 9/1/2021 and updated by 9/15/2021 in TED.
Fall Student Load file will be received 9/15/2021 and updated by 9/30/2021 in TED.
Mid-Fall Student Cohort Load File will be received 10/25/2021 and updated by 11/1/2021 in TED.

Monthly Faculty Staff Data

August Faculty Staff data has been loaded into the University Appointments area under the Relationships tab in TED. 

Monthly Faculty Staff data is pulled from Banner on the 10th and loaded into TED on the 3rd weekend of each month.



Virtual Training “Volunteer Management: Building a Culture of Philanthropy”

The UIF Office of Board and Donor Relations is pleased to sponsor a half-day virtual training provided by the Lilly Family School of Philanthropy on Tuesday, August 31st from 9:00 am to Noon.  Designed for advancement professionals who engage with donor volunteers, the training topics include: Building a Culture of Philanthropy, Leading Up, In-group Leadership, Authentic Leadership, Volunteer Involvement, and Board Engagement and Fundraising.

UIF Mass Communications Smartsheet Fall Miniseries

The UIF Mass Communications team is excited to offer a series of short Smartsheet training webinars and Q&A sessions. On the first Thursday of the month, the team will review a Smartsheet topic, and on the third Thursday, the team will hold a roundtable to answer and resolve any questions or concerns about the monthly topic. Each session will be scheduled for 30 minutes.

Research & Portfolio Management (RPM)

Improvement to “Edit Steps” Grid View

The start time, end time, and time zone columns have been removed from the “Edit Steps” grid view, inside prospect plans. This small change should help the “Edit Steps” grid view be a bit more user friendly.

The three columns will still be available when editing steps individually, just not in the grid view (where all plan steps are visible).


TED TIP! View General Interactions in Your Pending Activity

Fundraisers, did you know you can view your upcoming general interactions in the Pending Activity page of your Fundraiser tab?

Your Fundraiser tab’s Pending Activity subtab lists plan steps that are pending (and overdue) – but you can also set it to show you pending general interactions that are upcoming/dated in the future.

Do this by clicking on the Filters button in the Pending Activity subtab of your Fundraiser tab. A new area will open where you can check the box next to “Include general interactions” and click “Apply.” Now your Pending Activity list will show you “reminders” that you want to touch base with a constituent (even if you do not have a plan on them)!

To find the online course, log into iLearn and enter Research Request into the search bar. iLearn also has job aids that will walk you through the specifics of submitting requests for various levels of research, including R1-R6 research requests.


Want an overview on the different types of research offered by the Research and Portfolio Management department? Ask your RPM PDA for a copy of the RPM Service Catalog, which goes into detail on the different research types and their requirements!

Our job aids in iLearn are always updating, keep an eye out for new job aids for quick instructions on specific tasks. If you prefer watching a video over reading a document look at the TED Tutorials section to find regularly updated lists as well. Check out our latest ones below!

  • Advancement Systems Job Aid – This job aid provides an overview of Advancement Systems that you may use depending on your role and is especially helpful for new Advancement staff.
Upcoming Live-Training Sessions


In partnership with the U of I Universities, UIF staff will lead a panel discussion around various Prospect Management concepts.

We recommend all fundraisers and their staff take this course after completing the “Updating Prospect & Plan Records in TED” or “Reading Prospect Records in TED” curriculum. In order to enroll in this ILC you must enroll in one of those curricula. We recommend the first to fundraisers, and the second to those who will be using prospect records less often.
